This Privacy Policy describes how Fair Flow LLC ("Fair Flow," "we," "us," or "our") collects, uses, and shares information in connection with the Fair Flow platform, mobile applications, and related services (collectively, the "Service"). Fair Flow provides salon and spa management software used by businesses ("Salons") to manage their staff and operations, and, where applicable, to communicate with their clients.

1. Information We Collect

  • Account information: name, email address, phone number, business name, and password.
  • Business and staff information: details about the Salon, its team members, roles, schedules, and operational data entered into the Service.
  • Client information (where applicable): where a Salon uses Fair Flow to communicate with clients, contact details such as name and phone number.
  • Payment information: billing details processed through our payment provider. We do not store full payment card numbers.
  • Usage information: technical data such as device information and log data.

2. How We Use Information

  • To provide, operate, and maintain the Service.
  • To enable internal communication between a Salon and its staff, including operational voice and text notifications (for example, alerting a staff member that a client is waiting).
  • To enable, where applicable, communication between a Salon and its clients, such as appointment and service-related messages.
  • To process payments and manage subscriptions.
  • To respond to support requests and communicate about the Service.
  • To protect the security and integrity of the Service.

3. SMS and Voice Communications

The Service may send voice calls and text (SMS) messages for operational purposes. Staff members receive operational notifications related to their work. Where applicable, clients receive appointment-related and service-related communications.

Users consent to receive these communications when they provide their phone number and agree to receive communications from Fair Flow or the participating Salon. Message and data rates may apply. Message frequency varies.

Opt-out: Recipients may opt out of text messages at any time by replying STOP. For help, reply HELP. Opting out of operational messages may affect the functionality of the Service for staff users.

Information collected for the purpose of sending SMS or voice communications is not shared with third parties for their own marketing purposes.

4. How We Share Information

We do not sell personal information. We share information only as follows:

  • Service providers: third-party vendors who help us operate the Service, including Google Firebase (hosting and infrastructure), Stripe (payment processing), and Twilio (voice and SMS). These providers process information on our behalf.
  • Within a Salon: information entered by a Salon is accessible to authorized users of that account.
  • Legal requirements: where required by law, regulation, or valid legal process.
  • Business transfers: in connection with a merger, acquisition, or sale of assets.

5. Data Retention

We retain information for as long as an account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements.

6. Data Security

We use reasonable technical and organizational measures to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

You may access, update, or request deletion of your account information by contacting us. Depending on your location, you may have additional rights under applicable law.

8. Children's Privacy

The Service is not directed to individuals under the age of 18, and we do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date.
