Mindbody alternative

A Mindbody alternative for the floor — not another booking marketplace

Mindbody is built to get clients on the calendar: online booking, the consumer app, memberships, packages and payments. Fair Flow is built for what happens after they walk in — a staff turn system, a walk-in queue, digital tickets and daily ops for a busy salon floor.

Who this page is for

Look at Fair Flow as a Mindbody alternative — or add it next to Mindbody — if you recognize these:

  • You already run Mindbody (or you are quoted it) and the booking side is fine
  • Walk-ins still get settled at the desk, on a whiteboard, or in someone's head
  • Staff argue about whose turn it is, and Mindbody has no opinion on that
  • 10+ people on the floor, or more than one location, where fairness has to be visible
  • You do not want to rip out the calendar your clients already book through

Fair Flow is not a drop-in replacement for Mindbody online booking, payments or the consumer app. Keep Mindbody for appointments and discovery. Use Fair Flow for queue and team operations.

Why salons look for a Mindbody alternative

Mindbody is an all-in-one for a reason. Their own salon pricing page lists appointment scheduling, the consumer app, memberships, packages, payments, marketing, reporting and staff management, with US pricing starting at $79 per location per month. For a salon that lives on the appointment book, that is a serious product.

The gap shows up on a walk-in floor. Mindbody’s waitlist fills a cancelled appointment with the next client. Staff confirm it. Clients can request a waitlist slot on the consumer site. That answers “when will I be seen?” It does not answer “whose turn is it among the team?” We went through this across the major platforms in which salon software has a turn system. Mindbody is in the same group as Vagaro, Booksy, Fresha and Square: waitlist yes, rotation no.

The same naming trap exists on tasks. Mindbody My Tasks can assign a to-do to a staff member and report completion — that is real, and more than most salon software offers. It sits behind sales-team permissions and has no documented recurrence, so it is a CRM list, not a closing checklist. Time Clock Tasks are hourly pay rates for roles such as Front Desk or Training. Neither one is “wipe station 3.”

Where Fair Flow is stronger

A turn system, not a client waitlist

Everyone sees the same live rotation. Someone with a client is unavailable. When they finish they drop to the back. Mixed floors can run a separate rotation per technician type.

Internal walk-in queue

Staff share one digital queue for people who showed up. Clients do not see their place in line — the queue is for the team inside the salon.

Digital tickets from the chair

Staff send a service ticket from their phone. Reception sees what was actually performed, and the amount, before anyone argues at checkout.

Floor tasks the team claims

Opening, closing, weekly, monthly and yearly duties. You choose who can see a task. The first eligible person claims it with their PIN. That is a different model from assigning a named employee in advance.

You keep Mindbody

No marketplace migration. No new booking widget for your clients to learn. The calendar stays where it is.

Where Mindbody is still the better fit

Stay with Mindbody as your main system if your top need is:

  • Client self-serve booking and being found in the Mindbody app
  • Memberships, packages and recurring billing
  • Classes or a fitness-and-wellness mix under one roof
  • Appointment waitlists to fill cancellations
  • One vendor for calendar, payments and marketing

Most owners who talk to us are not ripping Mindbody out. They keep it for the book, and add the layer the floor was missing. If Vagaro is the booker you are comparing instead, see Fair Flow as a Vagaro alternative.

Add Fair Flow without leaving Mindbody

  1. 1. Keep bookingLeave Mindbody (or any booker) as the appointment system your clients already use.
  2. 2. Move the floorPut walk-ins and whose-turn into the Fair Flow queue and turn tracker.
  3. 3. Ticket from the chairUse digital service tickets so reception sees amounts from the chair.
  4. 4. Pull ops togetherBring requests, tasks, licences and training into one place over time.

Fair Flow pricing

  • First location: $99/month
  • Each additional location: $79/month
  • Extra storage: $10/month per 10 GB after 5 GB
  • 14-day free trial

Mindbody publishes a US starting price of $79 per location per month, with higher tiers (Starter, Accelerate, Ultimate) quoted by plan. The two products are not substitutes, so do not treat those numbers as a head-to-head.

FAQ

Is Fair Flow a full Mindbody replacement?

Not for online booking, payments, memberships or the Mindbody consumer app. Fair Flow is a Mindbody alternative when the gap is the floor: walk-in queue, staff turns, tickets and team ops.

Can I use Fair Flow with Mindbody?

Yes. Keep Mindbody for appointments, packages and discovery. Run the in-salon queue and staff operations in Fair Flow.

Does Mindbody have a turn system?

No. Mindbody has appointment waitlists so a cancelled booking can be filled by the next client. That orders clients, not staff. A turn system decides whose turn it is among your team.

Does Fair Flow have appointment scheduling?

No. Fair Flow does not include client appointment scheduling.

Can clients see the Fair Flow queue?

No. The queue is an internal tool for staff inside the salon.

Who is Fair Flow best for?

Salons, spas, and beauty businesses with busy walk-in floors and larger teams — especially 10+ staff and multi-location ops.
